Products and services
Keep a catalogue of what you sell so invoice lines fill themselves in.
Add a product or service
A product is anything you bill repeatedly: a day of consulting, an hour of development, a monthly retainer, a physical item. Saving it once means each invoice line fills in the description, unit, price and VAT rate for you. Using the catalogue is optional — you can always type a line by hand.
- Open Products in the top bar.
- Click New product.
- Enter a Name *. This is how you find the product when you type on an invoice line.
- Optionally add a Line description (defaults to name) — the text printed on the invoice line. If you leave it blank, the name is printed.
- Choose the Unit (day, hour, month or item), the Unit price € before tax, and the VAT rate.
- Click Save.

Product codes and VAT rates
Leave Code empty (it shows “auto”) and Invoice 14 assigns the next code from your business initials, such as EM-1, EM-2. You can type your own code instead, up to 32 characters; codes must be unique, so you’ll see an error if one is already taken. Codes only help you search — they aren’t printed on invoices.
The rate list shows the standard rates for your business country (for Spain 21, 10, 4 and 0 %; for the UK 20, 5 and 0 %), and new products start at your default rate from Settings → Tax. The tax is named the way your country names it — IVA, TVA, USt. or VAT.
Picking a product always copies its own rate onto the line. On a reverse-charge or export invoice, set that line’s rate back to 0 % yourself. See Tax treatments and IRPF.
Use a product on an invoice
On an invoice or quote, click a line’s Description box: your products drop down. Type part of the name, description or code to narrow the list, then click one (or use the arrow keys and Enter). The line copies the product’s description, unit, price and rate, plus the customer’s negotiated discount if they have one (Customers).
Everything you copied stays editable on that line. Changing a product later doesn’t touch invoices you’ve already written.
Edit or archive a product
Click Edit to change a product’s details or price. New lines use the new values; existing drafts and issued invoices keep what they had.
Products can’t be deleted. Click Archive to stop offering one on invoice lines and in customer discounts; it stays greyed out in the list until you click Restore.
