Set up VERI*FACTU
Authorise Invoice 14 to send your invoice records to the Spanish tax agency (AEAT) and switch VERI*FACTU on.
What VERI*FACTU is, and when you need it
VERI*FACTU is the Spanish tax agency’s (AEAT) system for invoicing software, set out in Royal Decree 1007/2023 and Order HAC/1177/2024. In VERI*FACTU mode, the software sends a record of every invoice to the AEAT at the moment it is issued, and the invoice carries a QR code that anyone can scan to check it against the AEAT’s records.
Under Royal Decree-law 15/2025 it becomes mandatory on 1 January 2027 for companies that pay Corporate Income Tax, and on 1 July 2027 for everyone else in scope, including autónomos. Businesses on the SII (immediate supply of VAT information) are outside it. The dates have moved before, so check the AEAT’s current guidance or ask your gestor.
Invoice 14 sends the records through an authorised provider that acts as a social collaborator of the AEAT. You never upload your electronic certificate to us — instead you sign a one-off authorisation (a “representation”) that lets the provider submit on your behalf. It is included in the Plus and Ultimate plans at no extra cost.
Off, sandbox and production
The VERI*FACTU page in Settings shows the current mode and your NIF at the top. There are three modes:
- Off — the default. Nothing is sent to the AEAT, and invoices carry no QR code and no VERI*FACTU legend.
- Sandbox (test) — records go to the AEAT’s test environment. Invoices get a QR, the legend and an “ENTORNO DE PRUEBAS” mark, and have no legal effect at the AEAT. For trying things out only.
- Production — every invoice you issue is sent to the AEAT as a legal record and printed with the QR code and the “Factura verificable en la sede electrónica de la AEAT” legend.
Before you start
VERI*FACTU applies to Spanish invoices in euros, so the workspace needs:
- Spain as the country, and your NIF filled in — both in Settings → General (Your business profile).
- EUR as the currency, and registered for IVA ticked — in Settings → Tax (Tax settings).
- The Plus or Ultimate plan. On the Free plan the page is greyed out with an upgrade prompt.
- To be signed in as the workspace owner. Members can see the page but not change it.
If something is missing, the page says Before enabling: Spanish workspace, NIF set, currency EUR and VAT-registered. and the buttons stay greyed out until you fix it.
VERI*FACTU for companies (SL, SA…) is currently in a private beta; self-employed workspaces can switch it on today. If your legal form is a company, the page explains this and stays greyed out — email hello@invoice14.com to join the beta.
Step 1: authorise the submission
The AEAT requires a one-off representation so the provider can submit records for your NIF. As a self-employed individual you can sign it online — no certificate needed.
- Go to Settings → VERI*FACTU.
- Under 1. Authorise the submission, fill in First name, Surname(s), Municipality, Street and Number exactly as they appear on your DNI or NIE and your tax address. Municipality and street are prefilled from your business profile; if the street still contains the house number or floor, move the number to its own field.
- Check Email for the signing link — the signing link is sent there.
- Click Sign online.
- Open the email from the provider’s e-signature partner (or click Open the signing link on the page) and complete the signature.
- Come back and click Check status. When the badge says Signed, you are ready for step 2. The page also checks the status by itself whenever you open it.

While you sign, the status shows Signature pending, together with the signing link and a reminder of where the email went.

The signing email comes from the provider’s e-signature partner, not from Invoice 14. It can take a few minutes and often lands in spam or promotions. Each click on Sign online starts a new, paid signing process, so please do not request it again — use Check status, and if nothing arrives, email hello@invoice14.com.
Sign with an electronic certificate instead
If you prefer, or if your workspace is a company, sign the representation with an electronic certificate. Online signing is only for individuals, so a company’s legal representative always uses this route.
- Fill in the signer’s details. For a company, also enter Representative’s NIF — the NIF of the legal representative who signs; the company’s own name and address come from your business profile.
- Click Download the form to sign with a certificate. A pre-filled PDF opens.
- Sign the PDF with the electronic certificate (the company’s, or the representative’s own) using your usual signing tool.
- Click Upload the signed PDF and choose the signed file. It must be a PDF of up to 5 MB.
- The status updates once the provider has accepted the signed form; click Check status if it does not.
Optional: try it in the sandbox first
The sandbox lets you see the whole flow — records, statuses, QR and legend — before anything counts. It does not need the representation, so you can try it before step 1.
- Under Optional: try it in the sandbox first, click Enable sandbox.
- Issue an invoice as usual and open it to see its AEAT record.
- When you are done, go live (step 2) — you can switch to production straight from the sandbox.

Sandbox invoices are real invoices in Invoice 14: they take the next numbers in your series and appear in your reports. Do not send them to customers. If you have already started invoicing for real, void the test invoices afterwards so they do not count as sales.
Step 2: go live
- Make sure step 1 shows Signed.
- Under 2. Go live, click Switch to production and confirm.
- The page now shows the production mode with a tick. Every invoice you issue from now on is sent to the AEAT.

From this point, a few things work differently:
- Invoices must be issued with today’s date (Spain time), because the record is sent at the moment you issue.
- An issued invoice is a legal record at the AEAT. It cannot be edited — only voided (which sends a cancellation record) or corrected with a corrective invoice. See Corrective invoices and voiding.
- Your NIF, country, currency and VAT registration are locked. To change them you would have to disable VERI*FACTU first.
How to follow each record, and what the QR code on the PDF does, is explained in VERI*FACTU records and the QR code.

Keeping it running
The representation is checked with the AEAT every day. If it expires or is revoked, the page shows a warning and invoices cannot be issued until you sign again: the badge reads Expired — sign again or Rejected — start again, and step 1 opens up again so you can repeat it.
If your plan drops to Free while VERI*FACTU is on, invoices cannot be issued until you upgrade or disable VERI*FACTU. After 30 days without a paid plan it is switched off automatically.
Turn VERI*FACTU off
Click Disable VERI*FACTU at the bottom of the card and confirm. New invoices are no longer reported to the AEAT and carry no QR code. Invoices you already issued stay as they are, with their records.
If you get “Some records are still being submitted to AEAT — wait until they settle before disabling”, wait a few minutes until every record has an answer from the AEAT and try again.
Once your VERI*FACTU deadline has passed, your invoices must come from software that meets the rules. Invoice 14 only offers VERI*FACTU mode, so turning it off then means your new invoices would not comply. Check with your gestor before you do.
