Team members

Invite people into your workspace, and what owners and members can each do.

Who can join a workspace

A workspace can be shared, for example with a partner, an employee or your gestor. Everyone in it sees and works on the same customers, products, invoices and quotes. Inviting people needs the Ultimate plan, which allows up to 10 people in the workspace, you included. On Free and Plus you are the only user.

On other plans, Settings → Members opens greyed out with an upgrade prompt. See Plans and billing.

Invite someone

  1. Click the cog in the top bar, then Members.
  2. In the members panel, choose to invite people and enter their email addresses.
  3. Pick a role: Admin for someone who should run the workspace with you, or Member for everyone else (see the next section).
  4. Send the invitation. It arrives by email from our sign-in provider.
Settings → Members, where you invite people and change or remove members.
Settings → Members, where you invite people and change or remove members.

The same panel lists everyone in the workspace and any invitations still pending. Use it to change someone’s role, remove a person or revoke an invitation.

The members panel is provided by our sign-in provider and is shown in English only.

Accept an invitation

If someone has invited you:

  1. Open the invitation email and follow its link.
  2. Sign up with the email address the invitation was sent to, or sign in if you already have an account.
  3. You go straight into the shared workspace.

If you signed up without using the link, the welcome page lists your pending invitations under You have been invited to join. Click Accept next to the workspace.

Don’t click Create my workspace if you are meant to join an existing team. It creates a separate, empty workspace that the rest of the team can’t see.

Once you belong to more than one workspace, for example your own and a client’s, a workspace switcher appears next to your avatar in the top bar.

What owners and members can do

The person who created the workspace is its owner. Anyone with the Admin role in the members panel counts as an owner too. Everyone else is a member.

Members and owners can both create, issue, email, void and correct invoices; record payments and refunds; work with quotes, customers and products; download PDFs; and see reports. Your plan applies to the whole workspace, so issuing by any member counts towards the same invoice allowance.

Only owners can:

  • save changes in General, Tax and Email sending. Members can open these pages but get “Only the workspace owner can do this” when they save, and don’t see the bank details;
  • set up a custom email domain;
  • set up or switch off VERI*FACTU;
  • change the invoice design (Design);
  • invite, remove or change the role of people;
  • choose or change the plan in Billing;
  • download all workspace data and delete the workspace (Your data and Danger zone).

Members don’t see the owner-only tabs in Settings at all. If you are missing a tab, that is why. Ask an owner.

Remove someone or leave a workspace

An owner removes a person from the members panel. That person loses access straight away. The invoices they issued stay in the workspace, because issued invoices belong to the business, not to whoever issued them.

To leave a workspace yourself, use the workspace switcher next to your avatar, or ask an owner to remove you. Your own login account isn’t deleted either way.
