Email an invoice to your customer
Once an invoice is issued, you can email it from Invoice 14 with the PDF attached. Drafts can’t be sent — issue the invoice first (Create and issue an invoice).
- Open the invoice from Invoices.
- Scroll to the Send by email card.
- Check the To address. It’s always the customer’s email address and can’t be typed here.
- Adjust the Subject and Message if you like.
- Click Send invoice.

The subject and message are prefilled in the customer’s invoice language, with the invoice number, the amount due and your business name — so a German customer gets a German email to go with their German PDF. Corrective invoices get a “corrective invoice” subject.
Below your message, Invoice 14 adds a short footer with your legal name, tax ID and address, the same way the PDF shows them. You can’t remove it: it’s what tells your customer’s mail filter that the email really comes from your business.
Send to a different address
To send to someone else, change the customer’s Email under Customers (Customers) and come back to the invoice. The address is read when you send, so this works for invoices already issued. If the customer has no email address, Send invoice stays greyed out.
Need to send to several people, or add a CC? Send it to the main contact and ask them to forward it, or download the PDF and attach it to an email of your own (Invoice PDFs).
See what was sent
Every send is listed at the bottom of the card with the address and the time: ✓ means the email was handed over for delivery, ✕ means it failed, with the reason in brackets. You can send the same invoice again at any time — for a reminder, say — and each send gets its own line.
✓ means the email left Invoice 14, not that it reached the inbox. If a customer says nothing arrived, ask them to check spam or quarantine first.
Which address it comes from
Unless you have set up your own domain, invoices go out from Invoice 14’s shared sending address, with your business as the sender name. Replies go to your reply-to address. In that case the card shows Sent from a shared address. Outlook and Microsoft 365 may quarantine it — send from your own domain for reliable delivery.
Customers on Outlook or Microsoft 365 are the ones most likely to miss invoices from a shared address. Sending from your own domain is the most reliable fix. You can also change the sender name and reply-to address: see Email sending.
If an email won’t send
- The customer has no email address — add one first: add it on the customer.
- Sending limit reached — try again in an hour: each workspace can send up to 20 emails an hour.
- Email failed to send: the email provider refused it; the reason is shown and also logged in the delivery list. Check the address for typos.
- Email is not configured — set RESEND_API_KEY and INVOICE_FROM_EMAIL in .env.: email sending isn’t set up on this server. On invoice14.com this shouldn’t happen — email hello@invoice14.com.
Quotes can’t be emailed from Invoice 14 yet. Download the quote’s PDF and attach it to your own email (Quotes).
